I need to print a PowerPoint presentation on Wednesday. I used Templates then type my slide text in the pre-set boxes. Everything is working fine, but when I print it there are changes into it.  The headline text displays on the darker box with the same size as the body text boxes. The font becomes white with blue background. That background becomes a darker blue and is outlined by the shape of the picture box. I don’t know what happens but I need to fix it as soon as possible. How can I print it with the correct color and shapes? Help please.

Before you start your printing exercise you should have placed the presentation in a shared location. If it a presentation the other members can also print and thus save you on paper and ink. If you want to print them in the view form the consider placing them in the view form to enable you print. You can choose to print either in black and white or in grayscale. If you choose to print a powerpoint presentation in color then ensure the color scheme matches the what your printer is capable of printing. To print on the grayscale click the option on the view tab, in the setting tab click the settings that you want. Then click print to print.

How about converting your powerpoint presentation to a word document before printing it? It is a lot easier and quicker way to print documents correctly. Here are the steps just in case you do not know how to convert them:

PowerPoint2010 to Word:

Go to File > Save & Send > Create Handouts > Create Handouts. If you choose Paste, it will create a simple handout in the style you have chosen. If you choose Paste Link, it will create a handout in the style you have chosen and whenever you edit your powerpoint presentation later, changes will also be reflected in the word document.

PowerPoint 2007 to Word:

In your powerpoint presentation, click on the Office button > Publish > Create Handouts in Microsoft Word

PowerPoint 2003, 2000 and earlier version to Word:

In your powerpoint presentation, click File > Send to > Microsoft Word.
