If yes, please read on. If not, you can still read on as the details below may still be helpful.

Plain Text, Rich Text, and HTML are basically email message formats.

Below are descriptions of each format.

  1. Plain Text – this is the simplest of the three email formats and it does not allow the user to format the character in an email message. Sender cannot format the text into bold, italic, underline, colored font, and other text formats. Sender cannot paste image in the message body but user can attach files in this message format.
  2. Rich Text – this type of message allows user to format the text into bold, italic, underline, colored font, alignment and other text formats. It also allows the user to paste picture in the message body. The downside is if you use this format in a specific email platform, say Microsoft Exchange, the format of the message may not be exactly the same if you send the email to someone using another kind of email platform.
  3. HTML – this is basically the same with Rich Text but it gives the user more flexibility because the sender of the email will need not to worry if the recipient is using the same email platform as the sender. The recipient will receive the same message format even if he is using an email platform different from the sender. This makes HTML the best email format  and it is almost always the default format in any email platform.
Microsoft Exchange converting Rich text to HTML

 

Converting from Rich Text to HTML is easy and usually it is just one click away. For Microsoft Exchange, you can easily change the format in the Compose Email Window. Please refer to the attached screen shot of Microsoft Exchange Compose Email Window and check the buttons boxed in red. You will just need to click your preferred format from the Options Tab.
