In the left menu pane expand the tools:

Left-click "Rule "

Left-click "New Rule "

Fill in the following fields:

  1. Select from the drop down the field to evaluate
  2. Select from the drop down whether it the correct operand.
  3. Enter the value to test for.
  4. Left-click "Add"
  5. Verify the correct field, operand, and value appear in field 5.
  6. Select from the drop down the action to take place.
  7. Enter the value of the action to take place
  8. If a folder left-click "select" to identify the folder.
  9. Left-click "Add Action"
  10. Verify the action and value appear in field
  11. Left-click "OK"

Creating rules in Lotus Notes is similar to filtering the messages. The manner of filtering is done based on the contents of the messages. The rule or rules you set in Lotus Notes will determine what to do in all incoming messages.

For example, you can create a rule that will tell Lotus Notes to automatically move the message to a certain folder if a particular word matched in the subject field. Or you can create a rule that will make Lotus Notes to throw the message in the Trash folder if the message came from a particular person or a rule that will change the message’s status to high if it came from your boss.
