For all Windows versions, press PrintScreen on your keyboard to copy the entire screen. Please don’t paste directly into Word. Instead, paste into an image editing program (even MS Paint), crop as needed, then save in a standard graphics format and use Insert Picture from File to insert the picture in your document. This way you can reuse the screen shot as needed and also still have it on file, if it becomes corrupted in the document.

A Screenshot is a snapshot of our required screen, which is on the computer screen. How to make screen shots? Computers have the ability to capture the screen shots, we don’t require any extra software for doing so.

  1. Open the window, which we require for a screen shot.
  2. Press the 'PrtSc' on the computer keyboard which is located on the right side of the keyboard.
  3. This will capture the entire screen of the computer, which will be saved on to computer’s clipboard.
  4. If we want to edit the screen; open a Microsoft Paint (Start — Programs — Accessories — Paint) we can also open Microsoft using a shortcut, by opening Run (Press windows icon and ‘r’ simultaneously) and type MSPaint.
  5. Now paste the captured image from the clipboard ctrl + v.
  6. Go to Crop tool which is on the menu bar and select the portion of the image which is required to be copied to Word document.
  7. Now copy the selected portion by clicking ctrl + v.
  8. Open Word document (Start — Programs– Microsoft — Word).
  9. Paste the copied picture in to the Word document using Ctrl + v.

To put screen shot in your word file press the Print Screen button on your keyboard. The function of the Print Screen key is to take picture or snap shot of the active window and place to the clipboard. Clipboard is an invisible area that holds the content that is copied, using the print screen button on your keyboard. The easiest way to insert an image to your word file is to paste directly onto the Microsoft Word pad after you press the Print Screen button, if you don’t want to edit the image.

You can also use the Microsoft paint under Start, All Programs, and Accessories. Open the application then press CTRL + V or click, Edit, and Paste. If you want to edit the image you can use the available tools on the upper left of the application screen. After you edit the image click File then Save As. Enter the file name that you desire, select the file type that you want the image to be saved, and select where you want to be saved the files or the image.

Adobe Photoshop is one of the image editor programs you can use to edit the image. Compare to Microsoft Paint, Adobe Photoshop has many tools for customizing your image. Press the CTRL + V button to paste the image. Save the image files after you edit the picture. If you still have something to change to your picture you can save it as PSD. Feel free to use other image editor software that you are familiar with, just make sure that you will save the file after you edit the image.

After you saved the image open the Microsoft Word click insert, there will be a picture icon then go where you save the files, choose the image you like to insert to your document, then click insert button or you can go to the file click the icon, copy the files or press CTRL C, right click then paste or press CTRL + V shortcut key to paste directly to your document.
