Hi guys,

I received a pop up box from Microsoft Word with a Microsoft Word document.

I am clear about the message, but I need to learn its usage. How does it work? Is it helpful for the document?

Any suggestion in this regard will be highly appreciated.

Thanks in advance.

Hi,

Microsoft Word has built in function to check spelling and grammar. You can simply press F7 on the keyboard to check spelling and grammar in word documents, when the document is open. Alternatively, you can find “Spelling & Grammar” button under “Review” tab in office 2007 and later. A pop up window will appear and it will be containing “Ignore”, “Ignore All”, “Cancel”, “Change” and “Change All” buttons. You can use “Ignore” button if you think that grammar or spelling are already correct and there is no need to change it, or you can use “Change All” button if you think that spelling or grammar needs to be corrected. “Ignore All” and “Change All” buttons are used to ignore or change all the spellings or grammar in a word document. I hope that it would clarify you concern about Microsoft Word spell check command.

Yes this tool is helpful for some documents especially when using the English language.  So to use this tool if you are using MS Word 2007, you need to go to Review and from select Spelling and Grammar tool.
So once you click that the pop up message will appear:
So all you need to do is ignore once then you'll have to check the entire document of that word again so the better selection is to ignore all.  Meanwhile, you have the option to add this word in the dictionary if you think you'll be using that word very often.  By adding that word to the dictionary, then in the future it won't correct your usage of that word.   If you choose to change that word you can use the suggested word for the entire document or for just that instance.

I always use Microsoft Office Word but I haven’t seen that message not even once. I don’t have that option on my version but try going to “Tools” then “Spelling and Grammar”. Microsoft Office Word will not automatically fix the error when you select the option but instead will give you suggestions and you just have to select from the available recommendations.

Also, Microsoft Office Word has a built-in feature that automatically checks the document for spelling and grammar errors as you type and compose your document. If you see highlighted words and or paragraphs, right-click it to see suggested corrections. Wrong spelling or misspelled words are highlighted in red while grammar will highlight the word in blue. In earlier versions, grammatical errors are marked or highlighted with green line.
