If you are using Microsoft Office Outlook as email client, you can always compress the database or the Outlook Data File (*.pst) to reduce its size on your hard drive and improve the email client’s performance. The more email you send and receive, the bigger your Outlook mailbox can grow. Huge mailboxes can take longer to open and search.

Many email providers like Office 365 limit the maximum size of the mailbox. If you receive a message saying your mailbox is beyond its size limit, deleting messages and folders help. If you store your information in an Outlook Data File (*.pst) and you delete items, the file is automatically compacted in the background when Microsoft Office Outlook is running and you are not using the computer.

Alternatively, you can perform the compact manually. To do this, in Microsoft Office Outlook 2010, go to “File”, “Account Settings” then “Account Settings”. On the next screen, go to “Data Files” tab, select the data file that you want to compact then click “Settings”. Finally, click “Compact Now”.
