Hello,

I am currently in new Jercy and attempting to access my office email. I have connected the broadband connection to my computer. I can perfectly receive emails but I can't seem to be able to send email. I keep receiving this error:

I believe, when you used your email at the office, it went via the corporate network. And I think your corporate network is in the green list,  therefore you may not have had this problem while at office. For outside the network, your office mail server must be using authenticated email. This means, you need to authenticate yourself to the server BEFORE attempting to send mail out.

This is because email servers have a program to "relay" emails. The email relay module (as it name implies) simply relays email to the destination, regardless of the sender. As of late, spammers have used un-secure email servers to relay their emails.

Therefore, nowadays in order to relay emails via an email server, you need to authenticate yourself first. That is you need to have a valid username and a password at the email server to send email. You need to turn on authentication in your email software. Hope this helps.

Thank you TechnoHat. I think, I somewhat understood what you were saying. My knowledge of technical terms is very limited! Would it be possible for you to guide me as to where this setting is? I think I am using Microsoft Outlook 2003.

You may want to checkup on the broadband providers website. Some broadband providers allow incoming email but will not allow out going email. These providers only allow outgoing email, if you use their email servers to relay email. This is a security measure by broadband providers, to prevent their IP addresses from getting blacklisted, in event one of their customers sends out spam emails.

Whenever, your broadband unit connects to the internet, it gets a public IP address from the service provider. If a particular IP address is detected as sending out spam emails, it is blacklisted in a public database. Some viruses in customer machines send out huge number of emails unknown to the user. It does not look good for broadband providers to get their IP address blacklisted.

Therefore, the broadband providers filter the traffic to detect such activity in their network, especially email. They tell their customers to use their email servers to send email out. Usually this is offered as a mandatory and free service. Try TechnoHats suggestion. If it does not work out give this a go.

To enable authenticated email in Outlook 2003:

  1. Go to Tools -> Email Accounts.
  2. Select "View or change existing e-mail Accounts" option and select the next button.
  3. Select the office email account and select "Change".
  4. On the corresponding window you will see a button called "More Settings". Click on it.
  5. On the next window go to the "Outgoing Server" tab, tick the "My Server Requires authentication".

That should do the trick.

Guess what? iRandom was right on track! Looks like my broadband provider in Sweden, indeed have a special email server that I need to put to send emails out. I had a look at their website and it was posted in their FAQ pages. I changed the outgoing server to the mail server address given by the broadband provider. Hey presto! It works! I thank both iRandom and TechnoHat for providing me with help. I learned 2 new things today!
