How would you define a good Exchange user account? Is there a specific length of time that we need to observe before deleting a terminated employee’s Exchange mailbox? Should we read their mail to check if there is something suspicious?

Hi Jedah,

Deleting the exchange mailbox of a terminated or resigned employee depends on your Company’s timeline. There are some companies that put the accounts on a certain folder on their Active Directory like Pending Deletion. All the accounts of terminated or resigned employee will then be deleted at the same time on a monthly, every 2 months or every year.

There are some cases where managers request to be able to access the resigned or terminated employees mailbox account. This is due usually to business reasons of being able to reply to important emails send to the resigned employees.

Usually, you can only access an email account if you have the business approval.
