How do you archive messages and contacts in MS Outlook 2003?

Having saved the messages and contacts, how do I export them to be compatible with my new installed MS Outlook 2010?

And will the same format that I saved be readable by other versions of MS Outlook?

How to back up emails and contacts from MS Outlook 2003:-

1. In the File menu, click Import and Export

2. In the list, click Personal Folder File (.pst), and then click Next.

3. Click the folder that contains the messages you want to back up (For back up of contacts, select contacts. For backup of emails select the email folder) and then click Next.

4. Under Save exported file as, click Browse, and then specify a name and location for your backup file, for example, Mail Backup.

5. If you back up a .pst file that you have backed up to before, click one of the following:

Replace duplicates with items exported Existing data will be overwritten with the information in the file being exported.

Allow duplicate items to be created Existing data will not be overwritten, and duplicate information will be added to the backup file.

Do not export duplicate items Existing data will be kept, and the duplicate information in the folder will not be copied to the backup file.

  1. Click Finish.

How to import emails and contacts in MS Outlook 2010:-

1. In the Import and Export wizard, select Import from another program or file option and hit Next.

2. Under File Type, select Outlook Data File (.pst) and hit Next.

3. Now choose the file to import, select the options, and hit Next.

4. It will then ask you to enter the password for backup file twice.

5. Once done, finally select the folder to import from (if you want to import complete data don’t change any settings) and make sure Include subfolders is checked. You can either import the file to the current folder or choose the folder.

Finally to answer your last question, yes the same format will be readable by other version of Ms Outlook.

Hello there,

Well first of all, have you filtered any folder in your outlook?

If yes then clear it up first.

Or else if you've created an Auto Achieve folder then all your mails would be stored in that folder, therefore go to tools, options, other tab, and in that retrieve all achieved items and now you'll be able to see all your mails.

This is how you'll be able to archive all your items in outlook.
